The Executive Support Officer, Office of the Dean, is a Faculty of Arts executive support team member.

About the Role

Reporting to the Manager, Office of the Dean, the position provides a broad range of professional, high-quality executive support to a number of the Faculty's Associate Deans. This position may also be required to provide executive support in the absence of the Executive Assistant to the Dean.

In a typical week at work, you may:

Provide executive support to a number of Associate Deans within the Faculty of Arts, including diary management, email triage and dealing with correspondence
Act as an interface between the Associate Deans and a range of key internal and external stakeholders
Undertake Executive Officer duties for Committees managed by the Office of the Dean, including booking rooms, managing calendar invites, preparing, and circulating agendas and meeting papers, and taking minutes
Provide administrative support to Associate Deans, including arranging travel itineraries, events, small grant payments, and other tasks as required
Assist with general office administration for the Office of the Dean

About You

You are a confident communicator who can build and maintain relationships with key stakeholders. You will be committed to quality client service, focusing on providing accurate and timely information to a diverse client base and looking for opportunities to add value.

Ideally, you will further have:

Completed a relevant degree (or completion of a diploma qualification and subsequent relevant work experience; completion of a Certificate IV and extensive relevant work experience), or an equivalent combination of experience and education/training
Excellent communication skills
Demonstrated ability and experience in providing practical administrative/secretarial support, including minute taking experience
Excellent attention to detail
Sound time management skills, including the ability to work independently and to manage competing responsibilities
Attendance at events conducted outside regular office hours may be required.
